Xavier University (the “University”) recognizes and values the privacy of the university community members and its guests. To that end, the University has adopted the following “Notice of privacy practices” to articulate the terms and conditions of the collection, use, and dissemination of any information the University may receive. Your use of Xavier University technology services indicates your acceptance of this Notice of privacy practices.
Generally, Xavier University retains data it collects as specified in its General Records Retention Schedule.
Where Xavier University Obtains Personal Data
From You or at Your Direction
Xavier University receives personal data from multiple sources, most often directly from you or from a third party whom you have directed to provide information to Xavier University (e.g., application for admission to Xavier University through Slate or Common App).
Publicly Facing Technology Services
The university’s publicly facing technology services (ex.: websites, student information system, learning management system, and similar) collect personal information that you knowingly and voluntarily provide when completing applications and forms, sending emails, registering for classes or other programs, responding to surveys, or ordering merchandise. Your personal information can be used to provide you with the needed information, products, or services, as well as helping to enhance your experience with the university’s resources and technology services, and can include:
- The IP address from which you access our websites;
- The name of the domain from which you access the Internet;
- The device identifier from which you access our services or websites;
- The type of browser and operating system used to access our websites;
- The date and time you access our websites;
- The pages, files, documents, and links that you visit; and
- The Internet address of the website from which you linked to Xavier’s websites.
Cookies are small pieces of data stored by the web browser on your local computer or mobile device, often used to remember information about preferences and pages you have visited. By setting preferences in your browser, you can refuse to accept cookies, disable cookies, and remove cookies from your hard drive.
INFORMATION VOLUNTARILY PROVIDED BY USERS
While using Xavier’s technology resources, users may choose to provide the university with information to help the university better serve them.
In order to better serve our community, Xavier may utilize contracted services and programs. Any such vendors would likewise be contractually obligated to protect personally identifiable information.
The University has put into place security measures to safeguard the integrity of its communications and computing infrastructure, and protect against the loss, misuse and alteration of the information under its control, including but not limited to authentication, monitoring, auditing, and encryption. Once the University receives any transmission from a user, the University will make its best effort to ensure its security on our systems. The University does so by using secure technology, privacy protection controls, and restrictions on employee access. These security practices are consistent with the policies of the University and state and federal laws. Due to the nature of electronic communications, no data transmission over the internet can be guaranteed to be completely secure. While the University remains committed to protecting the privacy of users, we cannot ensure or warrant the security of any information transmitted to the University electronically, nor can the University guarantee that information supplied by visitors to the site will not be intercepted while being transmitted over the Internet.
Any information that is disclosed on a social media platform becomes public information and all users should therefore exercise caution when deciding to disclose confidential information in such places.
Academic Discussion Forums
Academic chat sessions and discussion forums may be logged; however, these education records are protected from disclosure by FERPA.
Notification of Notice of Privacy Practices Changes
The University reserves the right to change its privacy practices at any time. Such changes will be posted on the website and will become effective upon Posting.
